Every platform notification: who, when and why
A full map of TribeSync's automatic notifications — for subscribers and for you, with timing, setup, and plan availability.

TribeSync sends notifications automatically so you don't do retention busywork by hand and never miss something important on your plan. There are two streams:
- To subscribers — from your bot (welcome, payment confirmation, expiry reminders).
- To you, the owner — from the main TribeSync bot (plan payment, plan states, setup nudges).
Everything runs on its own. Some texts you can rewrite in your own words — where exactly is noted below.
Subscriber notifications (from your bot)
1. Welcome
When a subscriber first opens your bot (/start), they see your welcome, then the list of plans.
- When: on
/start, before the plan list. - Setup: a custom welcome text is available on Growth and above. On Starter, the plan list shows immediately without a custom welcome.
- Why: set the tone and sell the value of access before payment.
2. Payment confirmation and access delivery
Right after a successful payment the subscriber gets a confirmation and a personal invite link to the chat (or an "access is active, tap Join" message if a personal link couldn't be created — you'll still approve them automatically).
- When: instantly after payment.
- Setup: not editable (transactional, must be unambiguous).
- Why: the subscriber immediately knows the payment worked and how to get in.
3. Pre-expiry reminders
Before a subscription ends, the bot reminds the subscriber to renew — with a one-tap renew button.
- When: 3 days and/or 1 day before expiry (depends on your plan, see the table).
- Setup: the 3-day and 1-day texts are editable on Growth and above. Placeholders
{product}(subscription name) and{date}(end date) are filled in automatically. - Why: winning back leavers is the cheapest revenue growth there is.
4. Expiry message
When the subscription ends and access is removed, the subscriber gets a message with a re-subscribe button.
- When: on the expiry day, when access is removed.
- Setup: the text is editable on Growth and above; the message itself is sent on every plan — it's a baseline retention standard.
- Why: give an easy way back to people who simply forgot to renew.

Owner notifications (from the main TribeSync bot)
These go to the Telegram account you used to start the main TribeSync bot.
- Welcome / welcome back — on your first and repeat
/startof the main bot. - Plan payment received — when your platform payment is confirmed and the plan is active.
- Platform plan reminders — 3 days and 1 day before your plan expires.
- Grace period — your plan ended but still works for a few more days; pay in time.
- Locked — new payments are paused; your subscribers do not lose access.
- Moderation member-cap exceeded — your group outgrew the plan's limit; moderation keeps working; sent once.
- Setup nudges (activation) — one at a time if something's unfinished: no bot connected; bot not linked to a chat; trial ending with no sales yet. Each has an action button and a link to the right guide.
[!TIP] Setup nudges arrive one at a time and only once each — we don't spam. If everything's set up, you'll never see them.
When exactly things are sent
Notifications are computed automatically once a day:
- To subscribers (reminders, expiry) — a daily check around 00:00 UTC.
- To you (platform plan, limits, nudges) — a daily check around 06:00 UTC.
Payment confirmation and access delivery are not scheduled — they happen instantly at the moment of payment.
How to edit the texts
Editable texts (welcome, 3-day / 1-day reminders, expiry message) are changed in the panel and the Mini App, in the subscription/bot settings. Available on Growth and above. Use the {product} and {date} placeholders — they're filled in automatically.
Texts are stored with your subscription and bot. If you change nothing, TribeSync uses a thoughtful default — notifications work out of the box, no setup required.
